Who we are

This policy is issued by Axia AI Inc (“Axia”, “we”, “us”), based in New York, NY. It applies to axiasolutions.ai and the pages served from it (the “Site”), and to the messages you send us through it. Questions about it go to jc@axiasolutions.ai.

What this policy does not cover

Axia works for colleges and universities under written agreements. Information an institution shares with us to perform that work, including any student records, is handled under that agreement and the institution’s own privacy notices, not under this policy. Where those records are education records under FERPA, we use them only for the purposes the institution has authorized and do not disclose them further except as the agreement and the law allow. If you are a student or applicant, direct requests about your records to your institution; we will assist it in answering them.

What we collect

• What you send us. When you use the contact form we receive your name, role, institution, email address and anything you write in the message field. If you email us, we receive your message and address.
• Technical data. Like any web server, our hosting provider records requests to the Site: IP address, browser and device type, the page requested, the referring page and the time. We use these logs to run and secure the Site.
• What we do not collect. The Site runs no analytics, no advertising trackers and no social media pixels, and it sets no cookies of its own. We do not ask for payment information, government identifiers or any sensitive personal information through the Site.

How we use it

• To answer your inquiry and hold the conversation it starts.
• To keep a record of our contacts with institutions we work with or may work with.
• To operate, protect and fix the Site, and to prevent abuse of the form.
• To comply with the law and enforce our Terms of Service.

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We do not use what you send us through the Site to train AI models.

How long we keep it

Inquiries and the correspondence that follows are kept while the relationship is active and for up to three years after the last contact, unless you ask us to delete them sooner or the law requires longer. Server logs are kept by our hosting provider for a short period under its own retention settings.

Security

The Site is served only over HTTPS, and access to our systems is limited to the people who need it. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

Your choices and rights

You can ask us to tell you what personal information we hold about you, to correct it, to delete it, or to stop using it to contact you. Depending on where you live, including California, the European Union, the United Kingdom and several Latin American countries, the law may give you these rights and others, such as portability or the right to complain to a data protection authority. We honor these requests wherever you are.

Write to jc@axiasolutions.ai. We may need to confirm your identity before acting, and we will not treat you differently for making a request.

For visitors in the European Economic Area or the United Kingdom, our legal basis for processing is our legitimate interest in answering inquiries and running the Site, or your consent where you have given it.

International transfers

We are based in the United States, and our providers store data in the United States and elsewhere. If you contact us from another country, your information is transferred to and processed in the United States.

Children

The Site is meant for institutions and the people who work at them. It is not directed to children under 16, and we do not knowingly collect their personal information through it. If you believe a child has sent us information, write to us and we will delete it.

Changes

If we change this policy we will post the new version here with a new effective date. Material changes will be noted on this page.
